Parent Volunteers

Guidelines

DGC is a volunteer-run organization which has been successful in the past because of the contributions and effort expended 

by parents and guardians like you!  We ask that you sign up for one volunteer job for EACH Singer you

have in DGC (i.e., if you have 2 daughters in DGC, your family needs to perform two jobs).


Please Note:  If a conflict arises and you are unable to perform your job at the last minute, you are responsible for

finding a replacement. Please ensure that your volunteer obligation is met in order to avoid a being charged a $200 fee.

CONCERT RELATED JOBS

Concert Gift Preparer (2)
Assist the Hospitality Chair to package/wrap a small post-concert gift for each singer for each of the 3 concerts.

This will be done prior to the concert at a date, time, and place mutually agreed upon Hospitality Chair and volunteer.

Concert Photo Board Coordinator (1)
Update the Photo Boards that are displayed in the lobby for each of the 3 Concerts. This will be done prior to the concert. Volunteer will work with the Publicity Chair to get pictures from DGC Photographer for all 5 choirs to add to the poster boards. Volunteer may also re-wrap and/or re-decorate boards as needed.

Concert PowerPoint Developer (1)
Create PowerPoint presentations for 3 concerts and helps to present the slides during the concerts. This will be done prior to the concert. Free admission to each concert. Volunteer will receive song titles from the Publicity Chair and/or President, and images from each Director to use in the presentation. Volunteer will be responsible for conducting the slideshow presentation during the concert, unless other arrangements have been made by Volunteer and President.

Graphic Artist (1)
Help to create graphics for 3 concert programs and flyers, and title graphic for 3 PowerPoint presentations. This will be done prior to the concert. Volunteer will be provided the title, as well as image and font ideas/suggestions from the President and Artistic Director.

Concert Program Developer (1)
Create concert programs for all 3 concerts in Word. Must be proficient in Word and have an aesthetic eye for detail, be able to place program order with the printer, pick up the finished programs from the printer (in Danville), and deliver to the church by 9am. Volunteer will be provided content from the Publicity Chair and/or President.

Special Needs Guest Usher (6)
Welcomes all guests to the concert and assists guests with special needs to their seats. Must arrive at 10am.

Ticket Sales (6)
Help sell concert tickets with the Treasurer at the concert. If not needed at the Ticket sales table, volunteer may assist with checking online purchase ticket holders. Must arrive at 10am.

Program Usher (6)
Assist with "crowd control" before the concert and hand out the programs as guests enter the church. Must arrive at 10am.

Usher/Hall Monitor (6)
Assists with general seating of guests before concert. During the concert, monitors activities at the rear of the church and ensures that noise and disruption are kept to a minimum. Must arrive at 10am.


Set Up – All 3 Concerts (6)
Help load, unload & set-up equipment at WC Presbyterian Church at all 3 concerts. Approximate time is 2 hours. Two free admission tickets per concert included.

Take Down – All 3 Concerts (6)
Help dismantle equipment and load in Uhaul. Also help unload equipment at SRVHS. Approximate time is one hour. Two free admission tickets per concert included.

Preparatory Chorus Chaperone (12)
MUST BE A PREP MOM: Help girls and Angela as needed; you will sit with the girls during the concert. Chaperones will help ensure singers are “concert” ready, quiet during choir rehearsal prior to concert, and during concert. Must arrive at 9am.

Intermediate Choir Chaperone (12)
MUST BE AN INTERMEDIATE MOM: Help girls and Director as needed; you will sit with the girls during the concert. Chaperones will help ensure singers are “concert” ready, quiet during choir rehearsal prior to concert, and during concert. Must arrive at 9am.

Apprentice Choir Chaperone (12)
MUST BE AN APPRENTICE MOM: Help girls and Jen as needed; you will sit with the girls during the concert. Chaperones will help ensure singers are “concert” ready, quiet during choir rehearsal prior to concert, and during concert. Must arrive at 8:30am.

Concert Choir Chaperone (12)
MUST BE A CONCERT MOM: Help girls & Ken as needed; you will sit with the girls during the concert. Chaperones will help ensure singers are “concert” ready, quiet during choir rehearsal prior to concert, and during concert. Must arrive at 8:30am.
 

OTHER JOBS

Crossing Guard (8)
Arrive at 6:15pm to retrieve safety vest and stop sign. Stop traffic to allow singers and parents to cross the crosswalk to the parking lot. Stay until the last singer is picked up, or until 6:45pm. If any singers remain, bring them back to Room 500 where a Board member will call a parent.

Publicity Assistant (1)
Help the Publicity Chair at various times throughout the year by making photocopies and distributing flyers for all DGC events, including auditions and concerts.

Auditions Assistant (3)
Help the Membership Chair welcome and sign in parents and girls at auditions. Pass out informational flyers. Escort singers to room for audition.

Volunteer Check-In (3)
Greets parent volunteers prior to the concert to check them in. Directs them to the appropriate Board member for instruction.

Uniform Swap Helper (2)
Helps Uniforms Chair set up uniform inventory and assist parents and singers during the uniform swap meet, Time is 3:30pm - 6:30pm on Wed., Aug. 15.

Assist with Uniform Fittings (2)
Help the Uniforms Chair with fitting and recording of dress and shoe orders. Volunteer will help during 2 rehearsals: September 5th and 12th, 4:30-6:30pm.

See’s Candy Database Creator (1)
NEEDS EXCEL EXPERIENCE. Works with the See’s Candy Committee Lead to enter data for candy sales in spreadsheet to create summary of items ordered and totals.

See’s Candy Order Helper (3)
Help See’s Candy Committee Lead to verify that funds collected match orders taken. Will require working during a rehearsal and using a calculator to compute totals. Additional help may be required the following week for late orders.

See’s Candy Sorter (6)
Helps See’s Committee Lead sorts chocolate received into bags for each Singer’s order. Will meet sometime during this week in the evening. Date, time and location to be determined. Approximately 2-hour time commitment.

See’s Candy Driver and Distributor (5)
MUST HAVE A MINIVAN OR SUV. Work with the See’s Candy Committee Lead to help deliver candy to Charlotte Wood Middle school before rehearsal and distribute bagged orders to families.

Chaperone- Concert Choir Tree Lighting Performance (3)
MUST BE A CONCERT CHOIR PARENT. Walk with singers from SRVHS to Old Oak Tree, help them get ready as needed. Help assist dismissal of singers to parents after the event.

Chaperone- Concert Choir Elementary School Tour (4)
MUST BE A CONCERT CHOIR PARENT. Ride the bus with the girls all day (8am – 3pm); help as needed at each concert site.

Collect Sheet Music (6)
Help collect sheet music from singers before rehearsal, then sort music. To be done at one rehearsal.

DVD Preparer- Concert Choir Tour (1)
MUST BE A CONCERT CHOIR PARENT. Collect photos taken by various chaperones on concert choir tour and prepare a DVD to be shown at the POPS Concert. Must use platform that can be easily uploaded and played on a computer (PowerPoint, etc.)

End of Year Party Assistants (3)
Help Events Board Member as needed, including with check-in, food, and overall supervision of girls at end of year party. EXACT DATE AND TIME OF EVENT WILL BE SET LATER.
